How to reduce no-shows at your salon

Why clients miss appointments, and seven practical ways to cut no-shows and late cancellations without upsetting your regulars.

An empty chair at a booked time is the most expensive hour in a salon. The stylist is paid, the slot could have gone to someone else, and the client who did not turn up rarely calls to explain. Most no-shows are not rude clients. They are busy people who forgot, got their times mixed up, or meant to cancel and never got round to it.

The good news is that most of these reasons can be fixed with a simple routine.

1. Confirm every booking the moment it is made

A booking taken over the phone exists only in your register. Send the client a short message with the service, date, time and stylist straight away. If anything is wrong, they will tell you now instead of on the day.

2. Send a reminder before the visit

A reminder the day before and another a couple of hours before the appointment catches most forgotten bookings. WhatsApp works better than SMS for this because clients actually read it and can reply.

Ask the client to reply to confirm. A reply tells you the slot is safe; no reply tells you to call them.

3. Make rescheduling easier than not turning up

If changing a booking means calling during busy hours, many clients simply skip it. Let them reply to the reminder to move the appointment, and you get the slot back in time to fill it.

4. Keep a waitlist for busy days

Saturday afternoons and festival weeks fill up fast. Note down clients who wanted a slot you could not give them. When a cancellation comes in, you have someone to call.

5. Track no-shows by client

A small number of clients usually cause most of the missed appointments. Mark every no-show against the client's name so you can spot the pattern.

6. Ask for a deposit only where it matters

Deposits work, but asking every client for one feels unfriendly. Use them for long or expensive services such as bridal makeup, keratin or colour correction, and for clients who have missed appointments before.

7. Write down a simple cancellation policy

Something as short as 'Please let us know a few hours before if you cannot make it' sets the expectation. Put it in the confirmation message and stick to it politely.

  • Confirm every booking in writing, including walk-in and phone bookings for later.
  • Remind the day before and on the day.
  • Let clients reschedule by replying.
  • Keep a list of clients who want earlier slots.
  • Track no-shows and use deposits selectively.
