WhatsApp appointment reminders for salons: what to send and when
A simple schedule of WhatsApp messages for salon bookings, with example wording for confirmations, reminders, reschedules and follow-ups.

The four messages every booking needs
- Confirmation, as soon as the booking is made.
- Reminder, the day before.
- Same-day reminder, about two hours before.
- Thank-you, after the visit.
1. Confirmation
Keep it short and specific: who, what, when and where. Include the stylist's name if the client asked for someone.
Hi Priya, your hair spa with Neha is booked for Saturday at 4:30 pm. See you then. Reply here if you need to change it.
2. Day-before reminder
This is the message that prevents most no-shows. Ask for a reply so you know the slot is safe.
Hi Priya, a reminder of your hair spa tomorrow at 4:30 pm. Reply 1 to confirm or 2 to reschedule.
3. Same-day reminder
A couple of hours before is enough time for the client to plan travel, and for you to fill the slot if they cancel.
4. Thank-you and next visit
A day after the visit, thank the client and, where it makes sense, suggest when to come back. For a haircut that might be four to six weeks; for a root touch-up, three to four.
Good habits
- Only message clients who have agreed to hear from you on WhatsApp.
- Use the client's name and the salon's name, so the message is clearly from you.
- Send during sensible hours, never late at night.
- Answer replies quickly, especially reschedule requests.
- Keep offers separate from reminders, and send them less often.
