The short answer

Below are 25 short WhatsApp messages for every common salon situation, ready to copy and edit, including a few in Hinglish. Use the client's name and your salon's name, keep each message to two or three lines, and only send offers to clients who agreed to receive them. Make it easy to opt out, and stop the moment someone asks.

Your front desk types the same messages all day. Booking confirmed. Running late. Happy birthday. Each one takes a minute, gets written differently by every person, and is easy to forget on a busy Saturday.

What makes a good salon WhatsApp message?

A good salon message is short, personal and clearly from you. It uses the client's name, names your salon, says one thing, and tells the client what to do next. If it would look odd coming from the front desk in person, rewrite it.

  • Two or three lines. Clients read these on the move.
  • One message, one purpose. Do not tuck an offer into a reminder.
  • A clear next step: reply 1, reply with a day, tap the link.
  • Send between morning and early evening. Never late at night.
  • Write in the language the client writes to you in.

Message 10 is not a telling-off. A friendly note gets more clients to rebook than a stern one. Keep your cancellation policy for the confirmation, as we suggest in our guide to reducing no-shows.

Send offers less often than reminders, and only to clients who said yes to offers. If you send one message to many clients at once using a broadcast list, WhatsApp says only people who have saved your number will receive it, so encourage clients to save your number.

Win-back messages for clients who stopped coming

For lapsed clients. Send no more than two or three, a few weeks apart.

Consent and opt-out: the rules to follow

Only message clients who gave you their number and agreed to hear from you on WhatsApp, and stop as soon as they ask. That is what WhatsApp's own Business Messaging Policy requires. It also says you must respect opt-out requests made on or off WhatsApp, and it suggests asking for permission separately for different kinds of messages, such as booking updates and offers.

  • Ask at booking or checkout: "Can we send your booking reminders on WhatsApp? And would you like to hear about offers too?" Note both answers.
  • Treat reminders and offers as separate permissions. A yes to one is not a yes to the other.
  • Add a simple way out to offer messages: "Reply STOP if you do not want offers from us."
  • When someone says stop, in any words, stop offers at once and note it in their record.
  • Never add clients to WhatsApp groups without asking. Their number becomes visible to everyone in the group.
  • Do not buy or borrow number lists. Messaging people who never agreed gets your number reported and blocked.

Questions salon owners ask

Can I send offers to all my clients on WhatsApp?

Only to clients who agreed to receive offers from you on WhatsApp. Keep a note of who said yes, send offers occasionally, and stop immediately if anyone asks.

Should salon WhatsApp messages be in English or Hindi?

Use the language the client uses with you. Keep an English and a Hindi or local-language version of your most common messages, and Hinglish where that is how your clients write.

Is a WhatsApp broadcast list better than a group?

For salons, yes. A broadcast list sends each client a private message and does not share their number with others, but it reaches only clients who have saved your number. Groups expose every member's number.

What do I do when a client says stop?

Stop the type of message they asked you to stop, straight away, and note it in their record. Thank them politely if you reply at all.
